General Information

In technical environments, written communication is not an administrative task, but part of the job. Reports, inspection documents, project documentation and recommendations form the basis for decision making. When information is unclear or poorly structured, it leads to errors, delays and misinterpretation.

This written reporting training helps engineers and technical professionals present information clearly, concisely and in a logical way. Many professionals have strong technical knowledge, but find that their reports are too long, lack structure or fail to convince. Effective reporting requires more than correct wording. It requires insight into purpose, audience and structure.

During the training, you learn how to build documents from the core message. You write with a clear objective, tailored to your audience and structured for readability. You also learn when to use different forms of written communication, such as reports, meeting minutes, agendas and proposals. This ensures your documents are clear, consistent and directly usable in practice.

Course content

During this one day training, you learn to approach written reporting as a deliberate form of communication. You start with the basics: defining your objective, identifying your audience and understanding their needs. From there, you build a logical document structure, including title, summary, introduction, main content and conclusion.

You apply the inverted pyramid principle, starting with the most important information so the reader immediately understands the message. You also work on paragraph structure, active phrasing and avoiding unnecessary complexity in sentence construction.

In addition, you learn when written reporting is the right communication method and when another form is more effective. Practical formats such as agendas and meeting minutes are also covered.

Finally, you learn how to review your own writing using the CCC model, focusing on correspondence, consistency and correctness. Throughout the training, theory and practice are continuously combined, allowing you to apply what you learn directly in writing assignments.

Trainer

Harmen Breedeveld is a specialist in written communication, combining a background in economics and education with extensive experience in professional writing. He has lectured at the Erasmus University Rotterdam, where he guided students in structuring and presenting complex information.

In addition to his work as a trainer, he is a project manager at MediLingua Medical Translations, where clarity, consistency and precision in written communication are essential. His daily work involves handling specialised texts and working with international stakeholders.

His combined experience in teaching and professional communication forms the foundation of this training. He focuses on practical application and shows how to structure and communicate complex information clearly and effectively within a professional and technical context.
